YOUR ROLE: 

As our People Operations Coordinator in Barcelona, you will report to our People Operations Manager in Barcelona, and work closely with the Global People Operations Team on building a world class day-to-day experience for our employees. We're in search of someone who is ambitious and optimistic about what a workplace community is. You are an advocate for the global culture we foster, the depth of connections we encourage, and the fun we bring to each day! This role is a permanent, part-time role with a 20h per week schedule.

As an internal influencer and representative of Kodify, you will be responsible for the overall organization and management of our European offices, as well as employee engagement activities.  You will also collaborate on our social media strategy, new employee onboarding and numerous exciting projects. The ideal candidate loves finding new ways to optimize spending, fostering an engaging culture, and organizing events. 

YOUR RESPONSIBILITIES: 

Workplace coordination

  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.);

  • Supervise the maintenance of the offices, equipment, food, etc.;

  • Purchase, order and stock office supply/snack/bev ;

  • Manage office mail;

  • Ensure a clean office environment by correspondence with cleaners;

  • Negotiate contracts with vendors, providers, software licences, etc.; 

  • Make travel arrangements for employees and executives when necessary;

  • Manage our company credit cards expenses;

  • Select, order and distribute employee swag; 

  • Ensure a diligent tracking of People Ops expenses for the region, and collaborate in budget consolidation;

  • Purchase any needed items for new hires and team members (equipment, supplies, etc.) and keep track of employee and company equipment;

  • Interface with the different departments for licensing and equipment purchase, etc.; 

  • Take care of IT issues when they arise (mostly by sending equipment to external providers).

Employee Engagement & HR 

  • As part of the People Operations Team, act as an important vector of company culture by embodying our values and evolving our culture by bringing on initiatives that increase autonomy and freedom as we continue to grow as a team and company; 

  • Own the organization of a large number of employee activities, including on-sites for our european employees (remote and in person); 

  • Contribute to the organization of the annual company wide offsite;

  • In collaboration with our other Coordinators, build and manage the social calendar, constantly looking for ways to improve and maintain employee engagement;

  • Organize celebrations for staff (public holidays, birthdays and anniversary);

  • Book training and conferences for employees, sometimes research training options for them, follow up and ensure the respect their training budget;

  • Input data in HRIS system (assets, training, anniversaries, employee documentation, etc.);

  • Participate in employee branding, social media and communications efforts; 

YOU:

  • 3+ years working in office management and/or coordinator role;

  • Excellent spoken and written English and Spanish. 

  • Proactive, organised and a growth mindset person;

  • Proficient Google Suite user;

  • Excellent time management and prioritization skills;

  • Experience in ever-changing environments is a plus;

  • Strong, genuine affinity for our mission, vision and values;

  • Trustworthy (being exposed to some specific and confidential information);

  • Good skills in Canva or similar tool (an asset); 

  • Willingness to work from the office approximately 75% of the time.
