As our People Operations Coordinator in Los Angeles, you will report to our Director of People Operations and work closely with the People Operations Team on building a world class day-to-day experience for our employees. We're in search of someone who is ambitious and optimistic about what a workplace community is. As an internal influencer and representative of Kodify, you will be responsible for the overall organization and management of our Los Angeles office, as well as employee engagement activities. You will also play a major role in our employee engagement efforts and collaborate on new employee onboarding as well as numerous exciting projects. The ideal candidate loves trying and finding new ways to optimize spending, fostering an engaging culture, and organizing events.


Workplace coordination

  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.);

  • Supervise the maintenance of the offices, equipment, food, etc.;

  • Purchase, order and stock office supply/snack/bev ;

  • Manage office mail;

  • Ensure a clean office environment by correspondence with cleaners;

  • Be available on-call to act as the main contact for security and office alarms;

  • Negotiate contracts with vendors, providers, software licenses, etc.;

  • Make travel arrangements (work related) for employees and executives when necessary;

  • Manage our company credit cards expenses;

  • Support the accounting team by doing cheque runs when necessary;

  • Select, order and distribute employee swag;

  • Ensure a diligent tracking of People Ops expenses for the region, and collaborate in budget consolidation;

  • Purchase any needed items for new hires and team members (equipment, supplies, etc.) and keep track of employee and company equipment;

  • Interface with the different departments for licensing and equipment purchase, etc.;

  • Take care of IT issues when they arise (mostly by sending equipment to external providers);

  • In collaboration with the other coordinators, ensure that we maintain a company wide hardware inventory, maintenance & recovery;

  • Occasionally assist our CEO and other executives in ad hoc projects and tasks.

Employee Engagement & HR support

  • As part of the People Operations Team, act as an important vector of company culture by embodying our values and evolving our culture by bringing on initiatives that increase autonomy and freedom as we continue to grow as a team and company;

  • Own the organization of a large number of employee activities as well as celebrations for staff (monthly happy hours, public holidays, birthdays and anniversary, group activities);

  • Participate in organizing and coordinating the annual company wide offsite. Bring new ideas to the table to ensure success of the events and employee satisfaction. Maintain appropriate budgeting for these events;
  • Book training and conferences for employees, sometimes research training options for them, follow up and ensure they respect their training budget;

  • Input data in HRIS system (assets, training, anniversaries, employee documentation, etc.);

  • Support the Senior People Operations Advisor in Los Angeles in occasional administrative duties;

  • Participate in employee branding, social media and communication efforts;

  • Participate in organizational development and HR projects in collaboration with the People Ops Team.

  • 3+ years working in office management and/or coordinator role;

  • Excellent spoken and written English;

  • Proficient with Google Suite;

  • Very tech savvy;

  • Experience in ever-changing environments is a plus;

  • Strong, genuine affinity for our mission, vision and values;

  • Trustworthy (being exposed to some specific and confidential information);

  • Ability and willingness to simultaneously participate in exciting projects and perform clerical tasks;

  • Willingness to work from the office approximately 75% of the time.
