YOUR ROLE:
We are seeking an experienced and highly organized Production Coordinator to join our team. Reporting to the Senior Line Producer, the Production Coordinator will support all day-to-day production operations, special projects and overall workflow within the production office. They serve as the central communication hub between departments, managing logistics, paperwork, schedules and resources throughout all stages of production – from pre-production through delivery.
Our ideal candidate has an innate passion for TV/film production, thrives in a fast-paced, deadline-driven environment and is proactive, solution-oriented and exceptionally detail-focused. In tandem with the Senior Line Producer, key responsibilities include booking and maintaining the crew schedule for all productions, overseeing the daily workflow of full-time Production Assistants, maintaining production management software applications and assisting with onboarding and training new hires within the department.
The Production Coordinator must also effectively communicate status updates on production plans, schedules, budgets and any changes to the Senior Line Producer and production teams to ensure alignment and smooth execution. This role requires excellent
organizational skills, strong communication skills, and strategic problem-solving.
YOUR RESPONSIBILITIES:
Serve as the primary liaison for all production operations between the Senior Line Producer, Production Manager, and production departments.
Book and manage crew scheduling.
Approve crew invoices.
Oversee full-time Production Assistants’ scheduling, communications and workflow.
Provide administrative support (meeting scheduling, distributing call sheets, schedules, COIs, crew paperwork, talent paperwork, etc.).
Liaise closely with Senior Line Producer for crew allocation, tracking production budgets and cost reporting.
Assist with talent coordination (testing, payments, call sheets, script distribution, paperwork, etc.).
Manage production software, calendars, spreadsheets and distribute reference materials (e.g. scripts).
Maintain receipts, reconcile credit card logs, and assist with departmental purchasing.
Collaborate with the Location Coordinator to manage aspects of shoot location(s): attend scouts, facilitate contracts and insurance, and oversee the planning and execution of load-in and load-out logistics.
Liaise with vendors and suppliers for equipment rentals, catering and other logistical needs.
Support the Senior Line Producer and Production Manager on set when needed.
Assist in onboarding and training new production department hires.
Anticipate operational needs, troubleshoot issues, and uphold positive crew relations.

Job requirements
3-5 years of relevant TV/film production experience.
Robust project management skills and proficiency with production, scheduling and budgeting tools (G-Suite, Smartsheet, AirTable, Studio Binder, etc.).
Strong knowledge of production workflows, scheduling and budgeting.
Excellent communication, organizational, and writing skills with the ability to multitask and meet deadlines in a fast-paced environment.
Strong critical thinking skills.
Confident Interpersonal skills.
Proactive problem solver with a positive, adaptable attitude.
Ability to maintain confidentiality and professionalism at all times.
Intermediate knowledge of production equipment and talent wrangling is a plus.
